The Do’s and Dont’s of event management

Event management and how to hold a successful ceremony or party.
 
 Events can come in several forms, and include product launches and press meetings attended by 1 or 2 key delegates and journalists, right up to broadcasted parties and award ceremonies that are attended by hundreds or thousands of celebs and industry guests.

 All sorts of events must be managed, including corporate hospitality, company functions, Xmas parties, picture or theatre premieres, team-building away days, business lunches, drinks receptions, summer garden parties, street shows and art exhibitions.

Event management is the act of handling any one of these gatherings, at a specific place and time. All aspects of an event have to be managed, and include details like selecting the best venue, manufacturing invites, organizing dcor and catering.

Organising an event can also require hiring any obligatory staff such as entertainers, waiters, cleaners and security. Holding an event for a product, or to celebrate an occasion, sends a message the product or occasion is vital.

The work beings with choosing a location. If the people that are to be invited can reach the location simply, then they are arguably likelier to attend. Though a remote location might dissuade some invitees from attending, if it is an exclusive and surprising location - such as a stately home in the country - that might turn out to be part of the event’s attraction.

The venue must have the facilities needed, or be in a position to provide them. If it’s something as straightforward as a press conference, then a podium, PA system and some chairs might be enough. If it’s a New Year’s Eve party for 1000 clubbers, then the location will need DJ kit, a cloak room, A VIP area, 1 bar and acceptable toilet facilities.

 If the locale in question doesn’t have the facilities your event needs, you will need to find a cost-effective way to have them installed briefly.

 If the event is launching or promoting a product, then branded décor will be a smart call. Branding can go anywhere, from banners above a doorway, to logos on wristbands to promotional t-shirts.
